LearnIt Cambridge is committed to protecting the privacy and personal data of our students and staff. This policy outlines how we collect, use, store, and dispose of personal data, in compliance with the UK General Data Protection Regulation (UK GDPR) and, where applicable, the EU GDPR.
We strive to accommodate reasonable privacy-related requests while maintaining compliance with UK GDPR standards. Students (or their parents/guardians, where applicable) may request information at any time regarding how their data is used.
1. Purpose of This Policy
This policy explains how LearnIt Cambridge:

ensures its security,

handles lesson files,

retains and deletes data,

complies with safeguarding requirements, especially for minors.
2. Data Collection and Usage
LearnIt Cambridge collects and processes personal data only for the purpose of providing language education services. This includes, but is not limited to:

student registration and enrolment

lesson delivery and administration
-
communication with students and their guardians (for minors)

accounting and financial management
We may use accredited third-party software or web services (e.g., for video conferencing, accounting, digital lesson materials). Students may request information at any time about how their data is used.
3. Data Security
To ensure the protection of personal data:

antivirus software is installed and regularly updated

access to sensitive data is restricted to authorised personnel

tutors and staff sign agreements to comply with UK GDPR/EU GDPR

sensitive information shared during lessons will not be recorded or disclosed
4. Lesson Files and Data Sharing
Materials produced during lessons (e.g., whiteboards, corrected homework, logs of activities) will be made available to students via a shared folder.
At the end of lessons, students can choose to:

allow LearnIt Cambridge to retain their files for potential future use, or
-
request the deletion of all files.
If no preference is communicated, files are securely stored for up to 12 months, then deleted. Students can request file deletion at any time.
5. Data Retention for Minors
For safeguarding purposes, online lessons for students under 18 may be recorded. These recordings:

may be viewed for six months after the session
-
will be securely deleted after the six-month retention period

7. Collaboration with Tutors
All tutors working with LearnIt Cambridge agree to:

use approved and secure tools for teaching and administration

handle student data responsibly and in compliance with GDPR

maintain confidentiality regarding all personal and sensitive data revealed during lessons
8. Data Deletion and Disposal
When data is no longer required, it will be securely deleted or destroyed to prevent unauthorised access or misuse.
Students (or parents/guardians for minors) may request the deletion of their data at any time by contacting the Data Controller.
9. Amendments to This Policy
This policy may be updated periodically to reflect changes in legislation or operational needs. Significant updates will be communicated to students and/or guardians.
10. Consent
By enrolling in a LearnIt Cambridge service and submitting personal information, you confirm that you have read and agree to this Privacy & Data Retention Policy. You consent to the collection, processing, and storage of personal data as described in this document.
