These Terms and Conditions apply to participation in the Italian After-School Club organised by Daniele Pio Buenza (trading as LearnIt Cambridge), held at OLEM Church Hall, next to St Alban’s Catholic Primary School.

1. Who can attend

• The club is open to children enrolled at St Alban’s Catholic Primary School, as well as children from other schools.

• The club is intended primarily for children aged 4–11 (Reception to Year 6) who already speak or understand some Italian.

• Children with little Italian may also be able to attend where an appropriate learning group is available. Parents should be aware that Italian is the main language of the club and that English will not routinely be used to translate activities or instructions, except where necessary for safety, wellbeing or safeguarding.

• In line with St Alban’s School’s arrangements, Reception pupils may usually join from Term 2, except where they already have a sibling attending the club. Reception children from other schools may enrol earlier if parents consider them ready and LearnIt Cambridge agrees that the club is suitable for them.

• Children are organised into smaller learning groups according to a combination of factors including age, current level of Italian and learning needs.

• Group allocations are not permanent. Teachers may move children between groups, combine groups or reorganise activities where they believe this will better support the children’s learning.

2. Purpose of the club and language policy

• The Italian After-School Club is an educational language activity and is not intended to operate as wraparound childcare.

• Activities are designed to develop children’s Italian in an enjoyable and age-appropriate environment.

• Teaching may include speaking, listening, vocabulary, pronunciation, reading, writing, spelling and grammar, alongside games, creative activities, projects and other interactive tasks.

• The content and balance of activities will vary according to the age, level and needs of each group.

• Italian is the principal language of communication and activities within the club.

• English may be used where necessary for safety, wellbeing, safeguarding or to support a child appropriately.

3. Location, school collection and session times

• The club is held at OLEM Church Hall on Wednesdays during the published club term dates.

• For children attending St Alban’s Catholic Primary School, LearnIt Cambridge assumes responsibility for the child once the child has been collected from school by a member of the LearnIt Cambridge team.

• A member of the LearnIt Cambridge team will be responsible for school collection. Volunteers may assist with collection, but the operation of the club will not depend on a volunteer being available to undertake this responsibility.

• Children will be accompanied from St Alban’s Catholic Primary School to the club venue in a supervised manner.

• The usual session structure is:
  - approximately 3:15–3:45 pm: school collection, transition to the venue, settling-in time, socialisation and food brought from home;
  - 3:45–5:00 pm: structured Italian teaching and activities;
  - 5:00–5:15 pm: collection window.

• Children attending from other schools should normally arrive at the hall in time for the beginning of structured activities at 3:45 pm, unless alternative arrangements have been agreed in advance.

• The structured teaching period finishes at 5:00 pm. All children must be collected by 5:15 pm.

• Parents are asked not to collect children before 5:00 pm except where necessary or where a regular alternative arrangement has been agreed with LearnIt Cambridge in advance. Early collection can disrupt both the child’s learning and the activities of the group.

• Any agreed early-collection arrangement does not entitle the family to a reduction in the session fee.

4. Booking and payment

• Booking is required in advance and is valid only once payment has been received and all required registration information has been provided.

• Places may be offered on a full-term or half-term basis, according to the booking options made available by LearnIt Cambridge.

• Where a discounted full-term rate is offered, the discount applies in return for booking the full block of sessions.

• Payment by half-term may be available where indicated or agreed with LearnIt Cambridge.

• Occasional or one-off attendance is subject to availability and is not guaranteed.

• A completed Registration Form is required for each child before their first attendance.

• Returning families do not need to complete a new Registration Form unless requested, but parents are responsible for informing LearnIt Cambridge promptly of any changes to emergency contacts, medical information, additional needs, collection arrangements or other relevant information.

• If payment is received but the information required for a child to attend safely has not been provided, LearnIt Cambridge may delay or refuse attendance until the necessary information has been received.

5. Siblings and pricing

• Current fees and available booking options will be communicated to families before booking.

• Where a sibling discount is offered, the applicable discount will be stated at the time of booking or on the invoice.

• Discounts cannot normally be combined unless explicitly agreed by LearnIt Cambridge.

• Families requiring an arrangement not covered by the standard booking options should contact LearnIt Cambridge directly.

6. Refunds, cancellations and missed sessions

• Fees are not refundable for sessions missed by a child, including absence due to other activities, holidays or an agreed early departure.

• In exceptional circumstances, LearnIt Cambridge may consider a refund or credit at its discretion.

• If LearnIt Cambridge cancels a session, families will be offered an appropriate refund, credit or replacement session.

• Where applicable, you have the right to cancel your booking within 14 days of payment.

• If no booked sessions have taken place during that period, payments for the cancelled booking will be refunded.

• If you have requested that the service begin during the 14-day cancellation period and one or more sessions have already taken place, the value of services already provided may be deducted from the refund.

• Any discount conditional on booking a particular block may be taken into account when calculating a refund following cancellation.

7. Behaviour, participation and learning environment

• Children are expected to treat teachers, volunteers, other children, materials and the venue with respect.

• Children are expected to listen to instructions, participate appropriately in activities and remain with the group or at the table assigned to them unless instructed otherwise by an adult.

• Children will occasionally be tired, distracted or less willing to participate after a full school day. This is understood and will be handled appropriately by the adults leading the club.

• However, continued participation requires a reasonable level of cooperation and engagement with the educational activities of the club.

• Behaviour that disrupts learning, compromises safety, damages property or materials, involves inappropriate physical behaviour, or repeatedly prevents adults from teaching the group may result in a formal warning.

• LearnIt Cambridge operates a three-warning system:
  - First warning: recorded warning and communication with parents;
  - Second warning: recorded warning and communication with parents;
  - Third warning: withdrawal from the club for the remainder of the term.

• A more detailed behaviour guide may be provided separately to families and forms part of the expectations for participation in the club.

• LearnIt Cambridge will normally work with parents before exclusion wherever reasonably possible. However, serious incidents involving safety or safeguarding may require immediate action and do not necessarily require three prior warnings.

• If a child is withdrawn from the club because of behaviour following the warning procedure, fees for remaining booked sessions will not normally be refunded.

• If a child consistently does not wish to participate in the club, LearnIt Cambridge may discuss with the family whether continued attendance is appropriate.

8. Food, health and safety

• LearnIt Cambridge does not routinely provide food or snacks.

• Parents are responsible for providing any food they wish their child to eat during the settling-in period.

• Children are often hungry after a full school day. Although this is referred to as a “snack”, parents may provide something more substantial if they consider this appropriate for their child.

• Parents are responsible for deciding the type and quantity of food provided, taking into account their child’s appetite, dietary needs and evening routine.

• Parents must follow any allergy or food-safety restrictions communicated by LearnIt Cambridge. Food containing nuts must not be brought to the club.

• Parents must provide accurate and up-to-date information about allergies, medical conditions, medication, additional needs or other matters relevant to their child’s safety and wellbeing.

• Parents must ensure that LearnIt Cambridge has appropriate emergency contact details.

9. Collection at the end of the session

• The normal collection window is 5:00–5:15 pm.

• Parents or authorised adults are responsible for collecting children by 5:15 pm.

• Only a parent or authorised adult may collect a child unless another arrangement has been communicated to and accepted by LearnIt Cambridge.

• Parents should notify LearnIt Cambridge as soon as possible if they expect to be late.

• Repeated late collection may result in an additional charge to cover staffing and venue costs.

• Where such a charge is invoiced, continued participation in the club may be conditional upon payment.

• Repeated failure to collect a child within the agreed collection period may result in LearnIt Cambridge reviewing whether the club can continue to accommodate the child.

10. Safeguarding and supervision

• LearnIt Cambridge staff working with children hold the appropriate DBS checks required for their roles.

• Volunteers may assist teachers and support activities but do not replace the core staffing arrangements of the club.

• Volunteers work under the direction of LearnIt Cambridge staff and must comply with the club’s safeguarding arrangements.

• St Alban’s pupils are accompanied from school to OLEM Church Hall in a supervised manner.

• Children from other schools remain the responsibility of their parent or accompanying adult until they have been handed over to a member of the LearnIt Cambridge team at the venue.

• Children remain under LearnIt Cambridge’s supervision until they are handed over to their parent or another authorised adult at collection.

• Safeguarding concerns will be handled in accordance with LearnIt Cambridge’s Child Protection and Safeguarding Policy.

11. Teaching groups and programme

• LearnIt Cambridge determines the organisation of teaching groups in consultation with the teachers delivering the programme.

• Initial group allocations are based on information available about children’s age, Italian-language ability and learning needs.

• Teachers have discretion to move a child temporarily or permanently to another group, combine groups for particular activities or organise children differently where they consider this educationally beneficial.

• Parents may raise questions about their child’s group, but final decisions about grouping during club activities rest with LearnIt Cambridge and the teaching team.

• LearnIt Cambridge may adapt the programme, teaching methods, resources and activities during the year in response to children’s progress and the needs of individual groups.

12. Staffing and volunteers

• LearnIt Cambridge will arrange the staffing considered necessary for the safe and effective running of the club.

• The number and identity of teachers and volunteers present may vary from week to week.

• Where a regular teacher is unavailable, LearnIt Cambridge may provide another suitable teacher or reorganise groups and activities as necessary.

• Volunteers may support individual groups, assist teachers and, where appropriate, lead agreed activities under the oversight of the teaching team.

• The absence of a particular teacher or volunteer does not in itself constitute cancellation of a session provided the club can operate safely and appropriately.

13. Contact and communication

• Questions or concerns should be directed to LearnIt Cambridge using the contact details provided on the LearnIt Cambridge website or in club communications.

• Parents are encouraged to raise concerns promptly so that they can be addressed appropriately.

• LearnIt Cambridge may contact parents regarding their child’s participation, progress, behaviour, wellbeing, collection arrangements or other matters relevant to the club.

14. Agreement
Before completing a booking or payment, parents may be required to confirm that they have read and agree to:

- these Terms and Conditions;
- the LearnIt Cambridge Privacy and Data Retention Policy;
- the LearnIt Cambridge Child Protection and Safeguarding Policy; and
- any additional policies or requirements specifically identified as applying to the club.

A child’s place is not confirmed until the required payment and registration requirements have been completed.

By enrolling a child, the parent or guardian agrees to comply with these Terms and Conditions and to ensure, as far as reasonably possible, that the child understands the expectations relevant to them.

LearnIt Cambridge reserves the right to update these Terms and Conditions. Significant changes affecting existing bookings will be communicated to families where appropriate. The current version will be made available through the LearnIt Cambridge website.
