These Terms and Conditions apply to participation in LearnIt Cambridge Italian Holiday Clubs, including half-term clubs and other programmes organised during school holidays, organised by Daniele Pio Buenza (trading as LearnIt Cambridge).
1. Who Can Attend
Holiday Clubs are intended for children belonging to the age groups and language levels advertised for each individual programme.
Some Holiday Clubs are designed specifically for children who already understand Italian. Where this applies, the expected level of understanding will be stated on the relevant club page and registration materials.
LearnIt Cambridge reserves the right to accept or decline bookings where necessary to ensure that the programme is appropriate for the child.
2. Language Policy
Activities are conducted primarily in Italian.
English may be used where necessary for safety, wellbeing, safeguarding, or to support a child's participation.
3. Location and Timing
Dates, times, locations and age groups will be those advertised on the LearnIt Cambridge website and associated booking materials.
Children may attend full days, half days, selected days, or other attendance patterns, subject to availability and the arrangements advertised for the specific Holiday Club.
Children must be collected by a parent, guardian, or other authorised adult named in the Registration Form, unless alternative arrangements have been agreed with LearnIt Cambridge in advance.
4. Booking and Payment
A completed Registration Form is required for every child.
Parents are responsible for ensuring that all information provided in the Registration Form is accurate and up to date.
Places are allocated subject to availability.
Places are only confirmed once payment has been received.
Payment must be made by bank transfer unless otherwise agreed.
LearnIt Cambridge reserves the right to refuse or cancel a booking where the Registration Form is incomplete or inaccurate.
5. Food and Dietary Requirements
Lunch and snacks may be provided depending on the booking option selected.
Parents must disclose any relevant allergies, dietary requirements, or medical conditions in the Registration Form.
LearnIt Cambridge will make reasonable efforts to accommodate dietary requirements but cannot guarantee an allergen-free environment.
Where parents provide their child's own food, they are responsible for following any allergy or food-safety requirements communicated for the specific Holiday Club.
6. Outdoor Activities
Where appropriate, children may participate in supervised outdoor activities, including visits to local parks, nature walks, and outdoor games.
Outdoor activities will only be available to children whose parent or guardian has provided consent through the Registration Form.
Activities may be adapted, relocated, or cancelled due to weather conditions or other circumstances.
7. Health and Safety
Staff working directly with children are subject to appropriate safeguarding checks, including Enhanced DBS checks where required.
At least one member of staff holding a recognised Paediatric First Aid qualification will be present throughout the Holiday Club.
Parents must provide accurate medical and emergency contact information in the Registration Form and inform LearnIt Cambridge promptly of any changes.
In the event of illness, injury, or an emergency, LearnIt Cambridge will attempt to contact a parent or emergency contact as soon as reasonably possible.
Where immediate medical attention is required and a parent or emergency contact cannot be reached, LearnIt Cambridge may seek appropriate medical treatment in accordance with the consent provided in the Registration Form.
8. Toileting and Personal Care
Children attending the Holiday Club are expected to be able to use the toilet independently, unless alternative arrangements have been agreed with LearnIt Cambridge in advance.
Parents must inform us in the Registration Form of any toileting, continence or personal-care needs that may affect their child during the Club.
Our staff are not expected to provide routine intimate personal care, including cleaning or changing a child following a toileting accident. If a child has an accident and is unable to clean and change themselves independently, we will contact the parent, guardian or emergency contact and may ask them to attend or collect the child as soon as reasonably possible.
Where toileting or personal-care needs are related to a medical condition, disability or additional need, parents should contact us before booking so that appropriate arrangements can be discussed.
While waiting for a parent or carer, staff will take reasonable steps to protect the child’s dignity, comfort and wellbeing.
9. Behaviour and Participation
Children are expected to behave respectfully towards staff, volunteers and other participants and to follow reasonable instructions given by staff.
Behaviour that places the safety, wellbeing, or enjoyment of others at risk may result in temporary or permanent exclusion from the Holiday Club.
No refund will be provided following exclusion for behavioural reasons.
10. Refunds and Cancellations
Places at our Holiday Clubs are reserved for specific dates and sessions and may affect staffing, venue arrangements and activity planning.
If you need to cancel your child’s booking, please contact us as soon as possible.

More than 14 days before the booked session: a refund will normally be available, less any reasonable non-recoverable costs already incurred.

Between 7 and 14 days before the booked session: we will normally offer a 50% refund.

Less than 7 days before the booked session: bookings are normally non-refundable, as staffing and other arrangements will already have been confirmed.

If we are able to fill the cancelled place, we may at our discretion offer a full or partial refund even where the above deadlines have passed.
No refund will normally be available for absence due to illness, holidays or other personal circumstances once the booked session has begun or has passed.
If LearnIt Cambridge cancels a session or Holiday Club, families will receive a full refund for any sessions cancelled by us.
Where exceptional circumstances arise, please contact us and we will consider the situation individually.
11. Photography
Parents may indicate their photography preferences in the Registration Form.
LearnIt Cambridge will respect the choices made by parents regarding the taking and use of photographs.
12. Contact and Communication
Questions and concerns may be directed to LearnIt Cambridge using the contact details available on the LearnIt Cambridge website.
Important information relating to the Holiday Club will be communicated by email.
13. Agreement
By submitting the Registration Form and making payment, parents confirm that:

The information provided in the Registration Form is accurate to the best of their knowledge.

They have read and agree to these Terms and Conditions.

They have read and agree to the LearnIt Cambridge Privacy Policy.

They consent to the collection and processing of personal information necessary for the operation of the Holiday Club.

They understand that LearnIt Cambridge will rely on the information and permissions provided in the Registration Form when caring for their child.
14. Changes to These Terms
LearnIt Cambridge reserves the right to amend these Terms and Conditions where reasonably necessary.
Any significant changes will be communicated to parents as soon as reasonably practicable.
